Faculty Consulting and Extra Compensation

 

 

A. Purpose

The purpose of this document is to define the policies and procedures of SPSU pertaining to faculty consulting activities and compensation of faculty for duties performed above and beyond normal duties.

 

B. Consulting

 

1. Consulting is defined as any additional professional activity performed by a faculty member that is:

a. beyond the assigned duties of the faculty member,

b. professional in nature,

c. based in the faculty member’s discipline, and

d. one for which the faculty member receives compensation.

 

2. Southern Polytechnic recognizes that teaching, advising, scholarship, and service are the primary responsibilities of all faculty; however, the University also recognizes that it is desirable for faculty to engage in outside activities that enhance the individual faculty

member’s professional skills and knowledge, and thus enhance his or her teaching efforts.

Faculty members are therefore encouraged to engage in consulting or other external activities as a means of maintaining and improving their currency and skills in their professional specialties, and Deans and Department Chairs shall encourage and assist faculty in their efforts to engage in productive external activities.

 

3. All consulting done by faculty members must conform to the following conditions:

a. Consulting activities must not interfere with the regular and punctual execution of the faculty member’s normal duties;

b. The University must be reimbursed at market rates for any University owned

facilities, equipment or materials used in the faculty member’s consulting

activities;

c. Consulting activities must not create any conflict of interest with the University, or violate State statutes related to conflicts of interest.

 

4. It is the responsibility of the faculty member’s immediate supervisor to implement this policy in a manner consistent with the needs of the organizational unit and consistent with paragraphs 2 and 3 above.  In cases where the Department Chair finds the consulting activity to be in conflict with the conditions in paragraphs 2 and 3, the Chair will so indicate in the faculty member’s annual evaluation.

 

5. When a faculty member engages in external activity (including consulting), he or she shall annually inform his or her immediate supervisor of such activity. The supervisor shall annually submit a brief report summarizing the external (including consulting) and extra compensation activities (see C-5) of all faculty members in the unit to the Vice President for Academic Affairs. This report shall be sent to the Vice President by June 1 each year.

C. Extra Compensation

 

1.   It shall be the policy of the University that when a faculty member is called upon to perform duties beyond their normal workload, an adjustment will be made to the faculty member’s normal assignments to ensure that an equitable distribution of workload within a department is maintained.  It is also recognized, however, that there will be circumstances in which faculty members may be called upon to perform duties at the University that are above and beyond a normal workload.  It is also recognized that faculty members may be called upon by operating units of the University that engage in self-supporting outside activities and that faculty members may be asked to take on duties to support the efforts of such units.

 

2. Extra compensation may be paid to the faculty member in such cases when the following conditions exist:

 

a. The work is performed by the faculty member in addition to a normal workload;

b. No qualified person is available to perform the work as part of his or her normal workload;

c. The additional duties do not interfere with the performance of the faculty member’s regular duties.

 

3. When these conditions are met and extra compensation is paid to a faculty member for these extra duties, the rate of compensation shall be consistent with that paid by the University to outside individuals for such services.

 

4. When a faculty member is assigned to or engaged for such extra duties as listed above, the assignment shall be approved by the faculty member’s immediate supervisor and by the University administrator responsible for assigning or engaging the faculty member for those services.

 

5. When a faculty member engages in an activity that merits extra compensation, he or she shall immediately inform his or her immediate supervisor of such activity. The supervisor shall annually submit a summary of such activities of all faculty members in the unit to the Vice President for Academic Affairs in the report referred to in B-5. This report shall be sent to the Vice President by June 1 each year.

 

6.  Extra compensation will not be paid for activities that are part of a faculty member’s normal range of responsibilities.
