Collecting Statistical Information on Applicants

Background As allowed by Federal regulations, Southern Polytechnic collects statistical information on applicants for all positions on a voluntary basis.

Guidelines and
Process
  1. The Voluntary Employment Information form (attached) will be administratively processed by the Department of Human Resources for all positions. For non-staff positions (i.e., faculty, senior level administrators, etc.), hiring supervisors should provide the list of all applicants to the human resources department to enable them to comply with this policy.
  2. The returned forms should be kept separate from the actual application/resume submitted by the applicant.  Search committees have no need for this information and should not have access to these forms.  Supervisors will need to provide the appropriate statistical data (including a count of those forms not returned) on both Southern Polytechnic "Affirmative Action" forms - B, C, and D (P & P 802.05) and, in the case of major positions, the Regents' "Affirmative Action Checklist."  The information should also be maintained in the supervisor's office personnel file so as to have access to it at a later date should an Affirmative Action complaint surface.
  3. Should an applicant fail to return the form, the fact should be noted in the file. The candidate should be asked to complete the form only one time.  If the candidate chooses not to respond, that is his/her prerogative. A "self-addressed" envelope should be included to encourage applicants to respond.
