The DoIT Equipment Purchasing Process

A primary function of the Division of Information Technology is to provide desktop hardware and software maintenance for supported faculty and staff machines. Our staff can provide dramatically better support to our users if they are familiar with the equipment, its function, and the technical support operation of the manufacturer. In addition, by buying in bulk from a specific vendor, the University receives much better pricing and after-sales support. In addition, as a state Institution, we are bound by state purchasing practices and contracts, minimum specifications, etc.
For these reasons the DoIT has standardardized on several types of equipment and/or resellers. Purchasing this approved equipment in a requirement unless there are specific functional, technical and/or compatibility requirements that the approved equipment cannot meet. The following is a list of some of the more common items for which we have set standards:
PC Workstations:
Our current supported system is the Sun Ultra 20 workstation product. A custom quote can be provided by DoIT if the specified system(s) doesn't fit your needs. Please contact us at xHELP if you need more informaiton or assistance.
PC System Standard Quote (PDF)
PC Laptops:
Our current supported system is the Lenovo (IBM) ThinkPad product. Since laptop specifications change regularly, please contact the DoIT at xHELP for a current quote.
Printers/Scanners:
Our current supported manufacturer for these items is HP. SInce the specifications on these products change frequently, please contact the DoIT at xHELP for a current quote.
Monitors:
Our current supported manufaturer is Viewsonic. A custom quote can be provided by DoIT if the specified system(s) doesn't fit your needs. Please contact us at xHELP if you need more informaiton or assistance.

Software:
The University System mandatory source for all Microsoft, Adobe/Macromedia, SAS and SPSS software is the Microcomputer Software Distribution service at UGA. You can visit the MSD site at https://www.msd.uga.edu/
For all other software purchases, please contact the DoIT at xHELP for assistance. We can help locate mandatory contract vendros and help you get the lowest possible price for your software needs.
To order IT-related equipment, software and services please follow the steps below:
- Print out a copy of the latest system quote from above (if applicable). For workstatino/laptop purchases, choose your options -- note that monitor/speakers/etc. prices are not included in main system quote. If your current monitor, and/or speakers are still functioning, then you probably don’t need to order new – our technicians will be happy to move them to the new system.
- For non P-Card purchases, fill out your Departmental Request Form -- keep it simple! There is no need to list individual components from the quote, only list the general description, the quote number and any options. Please list each option on a separate line.
- Complete an iEPA form
- For non P-Card purchases, get all administrative purchasing approvals/signatures
- Forward the DR (if using) and iEPA to the Division of Information Technology, room H-243. It will be signed and forwarded to the Budget Office for you.
