Deans Council Minutes

6-19-2002

NOTE: At times, issues of confidentiality may require that some items discussed in meetings be excluded from these minutes.

PRESENT: Bill Barnes, Dick Aynsley, Joel Fowler, Mike Murphy, Dawn Ramsey, Judy Waits, Steve Hamrick

ABSENT: Sandy Pfeiffer, Alan Gabrielli

1. New Faculty Orientation:
The deans discussed having a new faculty orientation. It was suggested that all pertinent P&Ps should be given to new faculty. Also, Harmick said that FERPA and open records issues should be included as well as Banner orientation. HR should be included as well and it was suggested that either Charles Azebeokhai or Quint Hill attend a deans council meeting. There was discussion about placing an orientation on the web that can be referred to from time-to-time. This would be good for mid-year hires. Ramsey would like information about CIT, CTE and the Grant Development Center (GDC) to be a part of the orientation. Ramsey said she will also be having 2-3 meetings of more depth about CIT, CTE and the GDC.

Action: Hamrick is to draft a checklist of items to be covered in the orientation for incoming faculty for discussion by the deans council.
2. Thanks:
The deans thanked Hamrick for his hard work in putting out the one combined catalog.

3. Budget Policy Changes:
Fowler announced that a new procedure is being used in Business and Finance. From now on, any money item (such as EIFs, advertisements, requests to travel, etc.) will be checked against the program budget to see if funds are available. If not, then deans/program heads must note where the money is coming from. Rob Whitaker has noted that he looks at four broad categories: Personnel (line by line), OS&E, Equipment, and Travel. There must be enough money in those categories to cover expenses.

4. Curriculum Advising and Program Planning (CAPP):
Hamrick said that the CAPP team is coming June 25 to help implement the degree auditing system in Banner. The key issue for deans will be to look at all requirements needed to graduate. The CAPP team will put in all requirements back to 1998 when we converted to semesters.

5. Short Space Discussion:
Hamrick answered several questions about the space report he is developing. There was some discussion of available space and its utilization.
